The sheet the person on the gate actually reads.
A gate sheet is read standing up, in the dark, by someone with a torch and a queue. The column order below is the order the questions get asked in, which is why the name comes before the company and the zones come before the dates.

WHAT THIS IS
A gate sheet is the printed list a gate or door works from: who is expected, what they carry, which zones they may enter and what to do about exceptions. This template holds the nine columns a working gate sheet needs, in the order a steward reads them.

The example rows are invented people. The column shapes are not.
WHY EACH COLUMN IS THERE
Every field is a field somebody has to chase.
- Name
- First, because it is the first thing said. Legal name, because that is what the ID says.
- Company
- The second question at every gate, and the one that resolves two people with the same surname.
- Role
- Context for the judgement call. A rigger at the dock at 6am is ordinary; a photographer is not.
- Pass type
- The category that carries the rules. This is what the laminate says in large letters.
- Zones
- What the pass actually opens. Never leave this to be inferred from the pass type at the gate.
- Valid from
- Staged access is the cheapest control there is, and it only works if the gate can see the date.
- Valid to
- The column that stops build-week credentials circulating on show day.
- Vehicle reg
- A vehicle is a different question from a person. Blank means they are on foot.
- Notes
- Conditions and exceptions, in plain words. "Escorted only" belongs here, not in an email.
USING IT WELL
- Print it sorted by surname, not by company. The gate is given a name, never a company.
- Put the print timestamp in the footer. A sheet with no time on it cannot be identified as the stale one.
- Give every gate the same sheet. Per-gate filtered sheets sound tidy and create three versions of the truth.
- Leave the notes column wide. It is the column that stops a radio call.
